I set up Wicked! Bookings for myself, or do you have to do that
for me? |
It's really
easy to set up Wicked Bookings. On the main screen is a button "GETTING
STARTED". Click this to start a wizard which will guide you
through the most important steps. |
| You
say no obligation and no spam emails? |
That right!
You can download the evaluation for FREE. One you've done that,
it's entirely up to you, try it out and see if it suits you. We
think you will like Wicked Bookings but we won't pester you with
emails or any other promotional stuff. |
| How
long do I have to try out the evaluation? |
You've got
as long as you want. There is no time limit, nor are you limited
to a number of tries. You will be able to make up to 10 reservations,
and be able to use all but one of the features, Once you have decided
to buy a registration, we will send you an Unlock Code to remove
those limits. |
| I've
got thousands of names and addresses already. Can I put these into
Wicked! Bookings? |
Provided
they are computerised at present, it should be possible. The Import/Export
Data options allow a transfer of data between applications. We can
offer some help in doing this for you, see 'support'. |
| How
do I make a reservation? |
Choose
a Person. If they are already in your database, click SEARCH to
find them by name or reference number. If it's a new client click
NEW Person to type in their name & address. When selected, click
the NEW Reservation button and put in the dates etc into the reservation
form. |
| What's
a 'Unit'? |
A UNIT is
your basic unit of accommodation. It might be a room in a motel,
a pitch on a campsite, a caravan, a Villa or something like that.
Wicked! Bookings can have up to 250 units in all. |
| What
do you mean by 'Type' |
You probably
group your units into types. For example single rooms & double
rooms, or standard caravans & luxury caravans. Each TYPE has
it's own tariff structure. You may of course have only 1 unit for
each type. This could well be the case for a villa rental business,
where each villa has it's own price list. Wicked! Bookings can have
up to 250 different Types |
| What's
a 'Resource' |
Do you offer
the use of extra items, like high chairs or cots for babies. You
probably only have one or two of these RESOURCES. Wicked! Bookings
will make sure these are correctly allocated and linked to a reservation.
Wicked! Bookings handles up to 250 differerent individual resources. |
Why
bother with 'Open' and 'Close' dates? |
Wicked!
Bookings keeps track of all your unit & resource allocations
between these dates. Many businesses might change the mix of units
and types from one year to the next, upgrading units, changing caravans
etc. Wicked! Bookings will always keep old reservation details but
the allocation information will be created from new for the new
season. |
| How
do I find if a client has been with us before? |
Just click
on SEARCH People, and enter the first few characters of their name,
Wicked! Bookings will show you a list of existing people with similar
names, with their initials, address & town. Just select the
person you want from the list. If you know their customer number,
just enter that. |
| Does
Wicked! Bookings keep track of all my payment receipts? |
Every time
you take money for a reservation Wicked! Bookings will ensure it's
linked to that reservation. You will be able to see at a glance
a summary of ALL payments from that client whether for this reservation
or others. This is especially useful for multiple bookings from
one client. Payments can be reallocated to a clients other bookings.
You will always be able to see how much that client owes you, across
all reservations. |
| How
do I find out about an existing reservation's details? |
If you know
their name, Search for them, and the main screen shows all of their
reservations. Double-click one of those to see the details. The
reservation will also be on the Planner, double click it there and
you'll get the reservation details. If you already know the reservation
number, Search for that. |
| Can
I make temporary reservations, holding a room until the client confirms? |
A Provisional
reservation would be one where you haven't taken any money. Make
a reservation in the normal way, but click Provisional. The main
screen shows you a list of all your provisionals at all times, so
you can decide when they have become stale. When it's confirmed,
open the reservation details, click Accept and you will be passed
to the payment receipt screen. The reservation is now confirmed.

| I
use my own pre-printed invoice stationary. |
Once Wicked!
Bookings is registered you can elect to turn off the printing of
your name and address on invoices. The layout of the invoice is
otherwise unchanged. |
| Can
I confirm a reservation even if I haven't received any payment |
Yes, just
make the booking in the usual way, click Accept and when you are
passed to the payment screen, just click Close so as not to receive
a payment. The invoice will show that no payment has been received.

| Can
I see who still owes money, either before or after arrival? |
The Check
In/Out screen shows which reservations are still not fully paid.
When you go to Check-in you will be reminded that there is an outstanding
amount and again at Check-out. The Arrivals report also shows and
summarises unpaid reservations. |
| What's
the little happy face for? |
If you want
to 'Blacklist' a client, click the happy face to change it to a
red, sad face. You might want to type in some text to the memo box
to remind yourself in the future. If you try to make a reservation
for a blacklisted client you will be prompted, but you will be able
to do it. If you send out a mail shot you can choose to omit the
blacklisted people. |
| What's
the Brochure Request check box for? |
Many times
a happy guest will leave and ask for you to mail next year's brochure
when it comes available. Check this box when they leave. At the
end of the year, do a mailshot, and select these brochure requests.
You'll get address labels for just these happy people, confident
they want to come back. |
| The
clients phone to say they are not coming. What do I do about that? |
You need
to decide whether to Delete the reservation or Cancel it. Both will
free up the unit for further letting (and remove it from the planner).
Cancel if you are keeping some money. You can only Delete if there
are no payments allocated to a reservation. Either way, it can't
be re-instated afterwards. |
| Is
there a summary of arrivals and departures for any day? |
Yes. The
Arrivals or Departures reports will list those for each day between
a range of dates. |
| Does
Wicked! Bookings keep track of clean and dirty units. |
Yes. When
someone checks out the unit is automatically marked as dirty. Your
housekeeper can control the progress of cleaning and checking units
during the day. You won't be able to book in a client unless their
unit has been marked as cleaned and checked. The housekeeping report
shows the times that the units were vacated, cleaned and checked. |
| I
need to change the unit a client has been allocated. How do I do
that? |
It depend
on how you want to handle the change. If it's to another Type and
you want to charge for that, you'll have to delete the reservation
and make a new one. If it's a 'no-charge' upgrade you can just transfer
it to another unit. There's an option on 'View Reservation Details'
to upgrade like that. |
| Does
Wicked! Bookings handle Sales Tax or VAT (UK)? |
Wicked!
Bookings assumes all your tariffs and all the invoices INCLUDE sales
tax (VAT). The Payments report summarises money received between
a range of dates, and 'breaks out' the sales tax (VAT) as a separate
item. |
| How
do I handle Security Deposits? |
Treat any
security deposit as an additional payment for the reservation. When
you repay it, you'll make a refund of the same amount and all will
be balanced out. If you have to retain any of it for some reason,
treat that money as additional income. The Payments Report will
show it as money received. It's true that the value of your reservations
won't now be the same as the money you have received, but it's the
money that counts. The Payments Report shows what you have earned.
The report on overpaid reservations will tell you who you still
need to return security deposits to. |
I've
sent out thousands of brochures this year, and I want to know
how effective my advert campaigns were. Can Wicked! Bookings tell
me which ones turned into reservations,
and where they came from? |
When you
take a Person's name and address, ask them where they got your info
and put that into Wicked! Bookings as an Advert code. You can report
on your enquiries and your reservations, grouping the results by
advert code. Similarly you can group by the first part of the postcode
to give you a geographical analysis. |
| I've
invested a lot of time compiling my customer list and reservations.
How secure is this information? |
Use the
Backup and Restore functions to make copies of your data. You should
then keep copies of the backed up files in the usual manner. |
| I
handle lots of credit card transactions. Does Wicked! Bookings deal
with credit cards? |
When you
set up Wicked! Bookings you need to define some 'Bank Accounts',
and say whether they are Cash, Bank or Credit Card. Set up an account
for your Merchant Service provider. Each time you receive a payment,
select a credit card account and Wicked! Bookings will prompt you
for the card details. There is no check made on these details, or
authorisation. For your inhouse security, there is no reporting
of card details. |
| How
do I know who is resident? |
On the Check
In/Out screen has a button to print a list of residents. |
| Can
I find out who's car is blocking the entrance? |
If you have
entered vehicle registrations at check-in time, you can search on
vehicles to find the resident. |
| How
do I link Wicked! Bookings to my financial accounting? |
The Payments
report lists all payments and refunds between a range of dates.
Choose to report daily, weekly or whatever. Enter the resultant
figure into your accounts system as 'Income from Wicked Bookings'
for that period. The report is subdivided by bank account, and further
grouped by pay-in slip number, so you can reconcile that with your
bank statements. Refunds are grouped on cheque number. |
| How
do I refund a client? |
Select the
reservation , see above, and make a 'New' payment. On the payment
details, click the 'refund' button, the amount will be shown in
red, enter the cheque number or a credit
card refund number. The refund will be subtracted from the payments
received summary report, see above. |
| What's
this 'Business Mode' thing about? |
Some businesses,
like hotels, rent their accommodation for a day at a time. Others,
like villas, often rent for a week at a time, and many bed &
breakfasts charge per person per night. Select your mode and Wicked!
Bookings will assume tariffs apply to each day (D) or week(W) or
per person (P), as appropriate. The Planner will show days or weeks
accordingly. One thing IS important. For a weekly business, all
prices must change on the 'change-over' day, whichever day of the
week you choose for that. That's the only way Wicked! Bookings knows
what your change-over day is. |
| If
I have problems using Wicked! Bookings, where can I get help? |
First, press
the Help button on any Screen. There is comprehensive context sensitive
help which should answer most of your questions. If you still have

| What
about Mail shots? |
Wicked!
Bookings has a comprehensive mail shot facility. Select from enquiries
or customers, for a choice of years. Select a range of names or
customer numbers, and print to a choice of label formats. |

So Wicked! Bookings is for me. How do I get an 'Unlock Code'? |
Go to the
'Buy Now' page of this web site. make your secure payment through
'Pay pal' and tell us the Name of your business as you want it spelled
(case sensitive). We will email you your specific Unlock Code once
your payment has been processed. You can use that Unlock code for
future upgrades of the software. |
| I've
changed my Unlock Code by mistake and I've lost the original notification.
Can I get a new one? |
When you
run the backup function, your Unlock Code is saved as well as your
other data. So you can Restore from that Backup and all should be
well. If you still need to get a copy of the Unlock Code, send us
an email to support@reservation-system.co.uk and we should be able
to send you a copy. |
| What
about software upgrades? |
You can
always download the most recent version of Wicked! Bookings at any
time. To upgrade, first backup your data, uninstall the current
version of Wicked! Bookings, and install the new version over again.
Restore from the backup. Your Unlock Code will still apply so you
should be running again, fully registered for the new version. |
